Most patients choose a clinic on their phone, often after a search like “dentist near me” or “emergency dentist open Saturday.” This guide covers the pages that matter, the three common ways to take bookings online, and the privacy and accessibility basics a Canadian clinic should not skip.
| Option | How it works | Best for | Watch out for |
|---|---|---|---|
| Request form | Patient picks a service and preferred times; front desk confirms by phone or email | Clinics that want to keep full control of the schedule | Slower confirmation; the form must not collect more health data than needed |
| Practice-software embed | Booking widget from the clinic’s practice-management system shows real openings | Clinics whose software already offers online booking | Design and speed depend on the vendor; check where data is stored |
| Custom booking flow | Service → dentist → time slot → details, built into the site and synced to the schedule | Multi-dentist or multi-location clinics | Needs an integration or a reliable manual sync |
| Phone only | Click-to-call button and hours | Very small practices | Loses patients who search and book outside office hours |
Pages every clinic site needs
Patients are comparing two or three clinics at once. The site that answers their questions fastest usually gets the booking.
- Services, each with its own page: checkups and cleaning, fillings, crowns, clear aligners, implants, pediatric and emergency care.
- Team page with real photos, names and credentials — not stock images.
- New patients: what to bring, insurance and direct billing, payment options, first-visit steps.
- Hours, address, parking or transit, and an embedded map on every page footer.
- A visible emergency line and same-day policy.
Privacy and accessibility
A booking form collects personal information, and sometimes health information. Under PIPEDA (and Quebec Law 25 for Quebec clinics) collect only what the booking needs, explain why, protect it in transit and at rest, and keep form notifications out of shared inboxes.
Accessibility is both good service and, in Ontario, a legal expectation under the AODA. WCAG 2.1 AA is the usual target: readable contrast, keyboard navigation, labelled form fields and alt text on photos.
Local search basics
Local results are driven by your Google Business Profile, consistent name/address/phone across the web, real reviews, and a fast mobile site. On the website side, add local business structured data, one page per service and location, and keep hours accurate — including holidays.
What we built
Our dental clinic showcase is a working demo with a three-step booking flow (visit type, day and time, details), direct-billing insurance information and same-day emergency slots. The business is fictional; the build is real and you can try it from the case study.
How to launch a clinic website
- List services and locations. One page per service and per clinic location gives patients and search engines clear answers.
- Choose the booking method. Check whether your practice software offers online booking before paying for a custom flow.
- Collect real content. Team photos, credentials, insurance details and a short first-visit guide build trust faster than stock copy.
- Set up privacy and security. Minimal form fields, HTTPS, a privacy policy and secure delivery of booking notifications.
- Test on a phone and publish. Book a test appointment end to end, check accessibility, then update your Google Business Profile link.
Frequently asked questions
- Can patients book directly into our schedule?
- Yes, if your practice-management software supports online booking or an integration. Otherwise a request form with fast confirmation works well and keeps the front desk in control.
- Should the booking form ask for medical history?
- No. Collect only what is needed to book — name, contact, service and preferred time. Medical history belongs in your clinical intake process, not a website form.
- Do we need a French version?
- In Quebec, yes. Elsewhere in Canada a French version helps if you serve francophone patients. We build bilingual sites with proper language tags for search.
- How long does a clinic website take?
- It depends on the number of pages, locations and the booking integration. We give a written scope and timeline after a short discovery call.
