Amen Security respects your privacy. This policy explains what personal information we collect through amensecurity.ca and our client portal, how we use and protect it, and the choices available to you.
This policy covers visitors to amensecurity.ca, users of our client support portal, and people who contact us through forms, chat, or email. Managed IT and professional services delivered under a separate agreement may involve additional privacy terms defined in that contract or statement of work.
We collect information you voluntarily provide — for example through contact and quote forms, career applications, blog comments (name, optional title, rating, and comment text), support tickets, and live chat. This may include your name, email address, phone number, company, job title, and message content. If you use the client portal, we also process the email address you provide for one-time passcode verification.
When you browse the site we may automatically collect technical and usage data such as pages viewed, approximate referrer, browser type, device characteristics, and a hashed session identifier used for first-party traffic analytics. Server logs may temporarily record IP addresses and request metadata for security, rate limiting, and troubleshooting.
Essential browser storage remembers your cookie notice choice, theme (light/dark), and language preference. A small theme cookie may also be set for consistent display across visits. With your consent, we may enable optional third-party analytics and session measurement services to understand how the public site is used; dismiss the cookie notice to decline those tools. We do not use advertising or remarketing cookies. Limited first-party traffic measurements may run to keep the site reliable — these do not require optional analytics consent and do not include your name or email.
Information is stored on servers we control or on infrastructure operated by service providers under contract. Form submissions, chat transcripts, portal verification events, and support records are kept in access-controlled systems used to operate and improve our services.
We use submitted information to respond to inquiries, prepare quotes, process job applications, moderate and publish approved blog comments, deliver support, and communicate about services you request. We do not sell or rent your personal information. We do not use your contact details for unrelated third-party marketing.
The client portal uses email-based one-time passcodes (and optional trusted-device recognition) to verify access to tickets and downloads tied to your organization. Do not share portal codes or links. We log verification attempts to prevent abuse and to support security investigations.
Live chat and automated assistants may store conversation content so we can answer your question, escalate to a human operator, and improve service quality. Chat is not a secure channel for passwords, payment card numbers, or other highly sensitive credentials.
If you choose to enable browser notifications (for example after live chat, submitting a support ticket, or in the client portal), your browser asks for permission separately from the cookie banner. We store the push subscription endpoint and encryption keys your browser provides, plus an anonymous subscriber ID in localStorage. When you opt in from a specific flow, we may link that subscription to your email, ticket ID, or chat session so we can notify you about replies and service updates — not unrelated marketing. You can turn notifications off in your browser settings or via the unsubscribe control where shown.
We share personal information only when needed to operate the site and deliver services — for example with hosting, email delivery, optional analytics providers (only if you consent), and automation tools configured for support workflows. We may also disclose information when required by law, to protect our rights, or to respond to lawful requests from authorities. Any service provider that processes data on our behalf must protect it and use it only for the contracted purpose.
We apply reasonable administrative, technical, and organizational safeguards appropriate to an MSP, including access controls, encrypted transport (HTTPS), and least-privilege access for staff. No method of transmission or storage is completely secure; please use official channels when sharing business-sensitive information.
We retain personal information only as long as necessary for the purposes described in this policy, to meet contractual obligations, resolve disputes, and comply with legal and tax requirements. Support records, applications, and portal activity may be kept for defined business periods; you may request deletion where law allows.
Under Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), you may request access to, correction of, or deletion of personal information we hold about you, subject to legal exceptions. Quebec residents may have additional rights under Law 25, including information about automated decisions and the right to lodge a complaint with the Commission d'accès à l'information du Québec. We respond to verified privacy requests within applicable legal timeframes.
Our website and services are directed at businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
We may update this policy to reflect changes in our practices, technology, or legal requirements. The "Last updated" date at the top of this page will change when we publish a revision. Continued use of the site after an update means you accept the revised policy.
